Executive Assistant to CEO

  • Management of complex calendar and scheduling requirements
  • Tracking and helping drive completion of key deliverables and follow up on outstanding items
  • OrganiSe large scale events and manage the project from end to end
  • Calendar management for CEO. Prioritise inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
  • Manage the CEO inbox, identify priority communications and raise as appropriate.
  • Note take for key meetings and produce timely and accurate minutes
  • Prepare presentations for CEO
  • Making travel arrangements including the preparing and submitting of visa applications and Covid19 required documentation.
  • Communicate competently with all levels of contacts across the global business while maintaining strict confidentiality and discretion. This includes high level stakeholders, guests, colleagues and third party partners.
  • Sustain a level of professionalism among staff while providing a "gatekeeper" and "gateway" role
  • Arrange dinners, social events and public appearances
  • Help prepare corporate documents
  • Process and distribute mail.
  • Answer and redirect calls
  • Organise, prepare and maintain corporate systems and trackers
  • Assist with the management of the corporate travel account and corporate virtual conferencing accounts.
  • Event Management of both virtual and in person events.
  • Organise and compile financial documentation (eg. expenses and POs) on behalf of the CEO
  • Ad hoc duties to support the CEO, directorate team and business as needed
  • Interact with the leadership team and departmental peers on a global basis to arrange meetings, conference calls, diary schedules etc. with key colleagues and internal managers
  • Ability to work independently with minimal direction
  • All other duties as assigned including special projects.


  • A proven background of supporting senior executives and exceptional administration and organisation skills
  • High level of resilience and confidence to ensure the right outcome is always achieved
  • Technically skilled, with a 'can-do' attitude
  • Immaculate attention to detail
  • Confident, articulate and professional speaking abilities
  • Ability to build strong stakeholder relationships
  • Adaptable to commercially focused environments

Studio Location. Approximately a 10 minute walk from Liverpool Street Station and a 5 minute walk from Shoreditch High Street.
