Production and sourcing are at the heart of our business. Working internally and directly with vendors, the team helps the business achieve the highest quality products. In the role of production admin assistant you will be involved from the start of the product life cycle. You will be responsible for tracking tasks, deliverables and any issues, managing theses through to completion and resolution.
In this role you will have the opportunity to collaborate with multiple internal functions as well as directly with vendors, with the clear directive of achieving the highest quality for our products, whilst optimising cost and supporting design’s product vision.
Organisation and communication are both key in this role, alongside the ability to work proactively and independently. Strong excel skills are a must! You will spend a lot of time creating and updating spreadsheets.
ABOUT THE TEAM
The production admin assistant reports into the production manager and is responsible for assisting the production department on a day-to- day basis.
WHAT WILL I BE DOING?
- Alongside the Production Coordinator you will support the sample process and update the sample tracker on google sheets and excel
- Work with the Production Coordinator to ensure that creative, press and web samples are received from vendors and given to the relevant department within critical path guidelines
- Maintain constant dialogue with vendors ensuring clarity on our expectations and deadlines
- Issue weekly reports for on time and late styles
- Check barcodes and swing ticket prices to ensure accuracy
- Help vendors order barcodes and swing tickets when required and resolve any potential issues
- Along with the Production Coordinator, process purchase orders promptly and in line with the critical path dates
- Log purchase orders on to One World and maintain prices, ex-factory dates and ensure delivery schedule is updated and constantly accurate
- Liaise closely with buying and merchandising teams to ensure that all reorders are placed promptly and loaded onto One World and key dates added to the delivery schedule
- Liaise closely with the technical and design teams to ensure everyone is aware of changes to designs or any product issues during the manufacturing process
- Ensure weekly delivery schedules are updated and sent by vendors on time for the production coordinator to review and analyse
- Support the Production Director and Production team with ad-hoc reporting and projects as and when required
- General administrative function to keep the department organised and to share information
WHAT SKILLS DO I NEED?
- Advanced user of Excel (V-Look Up and Pivot tables required)
- Previous experience within a production and supply chain department is preferable but not essential
- Ability to communicate effectively with good listening skills
- Proactive and independent thinking ability with demonstrated desire to learn and grow
- Strong ability to prioritise and adhere to deadlines
- Ability to work well under pressure
