THE ROLE
The P&C Apprentice is the backbone of our employee experience, ensuring every stage of the employee lifecycle is seamless, compliant, and professional. This role provides essential administrative support to the People Partnering, Talent Acquisition and Payroll teams, focusing on data accuracy, compliance, and smooth people processes.
ABOUT THE TEAM
This role sits within the People Partnering Team and reports to the Senior People Partner. You will work closely with the wider People & Culture team, including the Talent Acquisition and Payroll teams, to deliver a professional and efficient service to our UKEU employees.
WHAT YOU’LL BE DOING (KEY RESPONSIBILITIES)
Your responsibilities will be split across two core areas, ensuring a smooth employee journey and operational efficiency.
Onboarding & Payroll Administration
- Drafting and sending out employment contracts and offer letters as follows: UK (FMs, SMs, BLs, DMs, and all Head Office roles), and EU (Stylists, Seasonal Stylist, FMs, SMs, BLs)
- Oversee Right to Work for all new joiners ensuring compliance and escalating concerns. (via Zinc). Including updating and maintaining the visa tracker by escalating concerns to the People Partner/Advisor. (via MySaints)
- Creating and owning personnel files for new starters, ensuring all required documents are organised and saved
- Request employment references, tracking compliance and escalating concerns. (via Zinc)
- Complete employee onboarding processes up to and including MySaints employee bank details link
- Coordinating the onboarding experience. Including preboarding emails to managers, weekly welcome emails to new starters and line managers, and monthly onboarding reminders
- Supporting the smooth running of the probation period by sending out 1,2 and 3-month probation reminder emails to relevant parties as well as issuing pass probation letters. (via MySaints)
THIS WILL MOVE AWAY WHEN PAYROLL TEAM IS RECRUITED:
This will move to Payroll Administrator when the team is recruited:
- Adding new starters to various payroll systems: TMS, Payroll Sheet, New Starter Log, SalesForce.
- Sending confirmation emails to line managers once their new team member has been fully processed on MySaints and Payroll (Retail Only)
This will move to People Systems & Benefits Advisor when the team is recruited:
- Managing new starter and leaver door access/staff cards using WINPAK/Paxton and keeping the staff cards and fobs tracker up to date.
Employee Lifecycle Administration
- Preparing and issuing changes to terms and conditions letters
- Support the People Partnering team with employee relations case administration, such as preparing investigation packs, disciplinary invite letters
- Saving and organising documentation within personnel files in line with agreed retention periods
- Maintaining and updating the brands’ organisational charts
- Owning and coordinating the partnering team's training rota
- Preparing Data Subject Access Requests (DSARs)
- Answering queries in the People Inbox and completing employment reference requests.
- Ad Hoc raising of purchase orders via NetSuite
- Managing leaver coordination, including preparing leaver letters, scheduling exit interviews, overseeing the termination of employees from MySaints

ABOUT THE LOCATION
